What We Do
Most small business owners are good at their trade. The books? That's a different story. Bee Balanced Bookkeeping exists for the family-owned businesses, the sole proprietors, the farmers, the contractors, and the folks running multiple companies at once who need someone who actually understands how real businesses operate.
We're not a big firm. We're business owners ourselves — running several companies out of southwest Virginia — so we understand what it takes to keep things moving when you're wearing every hat. Your books will be overseen by someone who gets it, with the same care whether your business is simple or complicated.

Services
Every client is personally overseen by Shannon, with trusted support as needed — so your books are always in capable hands. Available remotely across the US and locally in the Castlewood, Virginia area.
Regular transaction entry, categorization, and reconciliation to keep your books current and accurate month to month. Monthly financials delivered by the 10th of the following month.
Profit & Loss, Balance Sheet, and Cash Flow reports prepared clearly and emailed monthly so you can actually understand where your business stands.
Clean, accurate entry of transactions, receipts, and records into your accounting software — done right the first time.
Behind on your books? Inherited a mess? We'll sort it out — months or years of backlog brought current and organized.
Certified in Ambrook software — built specifically for farms, ranches, and agricultural operations. Farm books are different. We know that.
Running more than one company? We manage books across multiple LLCs and entities — keeping each one clean, separate, and accurate.
Don't let receipts pile up in a shoebox. Mail them to us monthly, organized by month, and we'll scan, process, and record every one. Remote clients mail them; local clients may drop off. All receipts are stored securely throughout the year and returned to you at year end along with your complete annual financial package.
Sales tax filing is available as a separate service. Please note: Bee Balanced does not prepare or file income tax returns. For income tax filing, we recommend working with a CPA or enrolled agent and we're happy to provide them with clean, organized books to make their job easier.
We don't run payroll in-house, but if you need it, Gusto is our recommended platform. We can help you get set up and will reconcile payroll in your books each month. Gusto subscription costs are the client's responsibility.
Not the right fit for every business. We do not take on clients with inventory management needs. If your business requires inventory tracking, we're happy to point you toward someone better equipped for that. We also do not provide income tax preparation or filing. Honesty about fit saves us both time.
Remote & Local
Whether you're down the road in Russell County or running a business in another state, the process works the same. Here's exactly how it works so there are no surprises.
You'll grant read-only access to your bank feed — view only, no ability to move money or make changes. This is standard practice and keeps your accounts secure while allowing accurate bookkeeping.
You'll need an active subscription to QuickBooks Online, QuickBooks Desktop, or Ambrook. Software subscription costs are the client's responsibility. You'll invite us as an Accountant user — we never log in remotely to your computer.
All ongoing communication is handled by email. An initial Zoom meeting is available if you'd like to meet face-to-face before we begin — not required, but always an option. Phone calls are by appointment only and not our preferred method.
Your monthly financial statements — Profit & Loss, Balance Sheet, and Cash Flow — are emailed to you by the 10th of the following month. At year end, you receive a complete financial package along with any original receipts we've been holding.
We will never ask to remote into your computer. Ever. All access is through cloud-based software platforms only. This protects both of us and is a firm policy.
Remote clients who add receipt management mail receipts monthly, organized by month. Local clients may drop them off instead. We handle the scanning, processing, and recordkeeping — and return everything at year end.
How It Works
A signed service agreement and first month's payment received is when you become a client — not before. Here's what the process looks like from inquiry to first month.
Fill out the contact form or send an email. Tell us about your business and what you need. We respond within one business day.
We'll need your last 3 months of bank and credit card statements for all accounts to assess your transaction volume and provide accurate pricing.
You'll receive a custom service agreement outlining your specific services and pricing. Review it, sign it electronically through our secure client portal, and submit first month's payment.
Once the agreement is signed and payment is received, we get to work. You'll grant software and bank feed access, and we'll take it from there.
Pricing
Monthly bookkeeping services start at $150/month and are priced based on your average monthly transaction volume and number of bank and credit card accounts. The more straightforward your books, the lower your rate. Every quote is custom — no two businesses are exactly alike.
Catch-up, clean-up, and other one-time services are quoted separately based on scope. Receipt management and sales tax filing are available as add-ons. To receive an accurate quote, we'll need your last 3 months of bank statements to assess your transaction volume.

About Shannon
I grew up on a farm outside Abingdon, Virginia — dad drove a truck, mom ran the office. When I married Richard, I found out his family was cut from the same cloth: his father a truck driver, his mother a CPA office manager. You could say the combination of hard work and careful bookkeeping has been woven into both our families for a long time — and it shows in how we run our own businesses today.
I graduated from Bluefield University in 1999 with a BS in Business Management with a concentration in Accounting. I went on to work for a large CPA firm in Texas before coming home to southwest Virginia and doing what I love — helping small business owners get their financial house in order.
I prefer email and text over phone calls. That's not shyness — that's efficiency. A well-documented email is better for both of us than a phone call that nobody remembers correctly. My goal is to give you enough information right here that you come to me ready to work.
