How this works: Each step must be completed in order. You won't be able to skip ahead — especially the contract. I want to make sure we're both on the same page before we begin.

Service Agreement

Bookkeeping Services Agreement

This Agreement is entered into between Bee Balanced Bookkeeping LLC ("Bookkeeper") and the client identified during account registration ("Client"). By signing below, both parties agree to the following terms.

1. Scope of Services
Bookkeeper agrees to provide the bookkeeping and financial record-keeping services selected by Client during the intake process. Services may include transaction categorization, bank reconciliation, financial statement preparation, sales tax filing, and receipt management, as agreed upon. Income tax preparation and filing are not included.

2. Client Responsibilities
Client agrees to:

  • Provide the last 3 months of bank and credit card statements for all accounts prior to commencement of services.
  • Grant read-only bank feed access and Accountant-level access to accounting software.
  • Provide complete and accurate financial records and supporting documentation in a timely manner.
  • Respond to Bookkeeper requests for clarification within five (5) business days.
  • Notify Bookkeeper of any changes to business structure, ownership, or operations.
  • Maintain secure copies of all records provided.

3. Remote Access Policy
Bookkeeper will never request remote desktop access to Client's computer. All work is performed through cloud-based accounting software and read-only bank feed access only.

4. Fees & Payment
Services are priced based on average monthly transaction volume and number of accounts, starting at $150/month. Fees will be outlined in a separate written proposal prior to commencement of work. First month's payment is due upon signing. Ongoing invoices are due within fifteen (15) days. A late fee of 1.5% per month may apply to past-due balances. Bookkeeper reserves the right to pause services for accounts more than 30 days past due.

5. Monthly Deliverables
Monthly financial statements (Profit & Loss, Balance Sheet, Cash Flow) will be delivered by email by the 10th of the following month. A complete year-end financial package will be provided annually.

6. Confidentiality
Bookkeeper agrees to hold all Client financial information in strict confidence and will not disclose it to any third party without Client's prior written consent, except as required by law.

7. Limitation of Liability
Bookkeeper's liability is limited to fees paid in the prior 90 days. Bookkeeper is not responsible for errors resulting from inaccurate or incomplete information provided by Client, or for penalties, interest, or tax assessments arising from decisions made by Client or Client's tax preparer.

8. Termination
Either party may terminate this agreement with thirty (30) days written notice. All outstanding invoices become due upon termination. Bookkeeper will provide Client with a final copy of records upon receipt of all outstanding payments.

9. Governing Law
This agreement shall be governed by the laws of the Commonwealth of Virginia.

10. Entire Agreement
This document constitutes the entire agreement between the parties and supersedes all prior understandings. Modifications must be made in writing and signed by both parties.
